Turn meeting notes into action item lists with Claude

Tools usedClaude

Claude can read through messy meeting notes and pull out clear action items with assignments and deadlines. This is useful for team leads, project managers, and anyone who runs meetings and needs to send follow-ups quickly.

What you can make

  • A structured list of action items from meeting transcripts or typed notes
  • Task assignments showing who is responsible and what the deadline is
  • A summary email of next steps to send to attendees after the meeting
  • Action items organized by owner, priority, or department for your task tracker

Skills and tools you need

  • Claude (free to start, some features need a paid plan): reads meeting notes and extracts action items
  • Basic prompting: asking Claude clearly what format you want
  • Meeting notes or transcripts in text format (typed notes, recorded meeting transcript, or audio-to-text output)
  • A Claude account
  • Optional: Google Docs, Notion, Slack, or email to share the output with your team

How to build it

  1. Gather your meeting notes in text format (typed notes during the meeting, a transcript from a recording tool, or paste from a transcription service).
  2. Go to claude.ai and start a new conversation, or open an existing project if you process meetings regularly.
  3. Paste the meeting notes and use the prompt below to have Claude extract all action items with owners and deadlines.
  4. Review the output and ask Claude to adjust the format (regroup by person, add a status column, change to a table, sort by priority).
  5. Copy the formatted list into your task management tool, or send it as a follow-up email to meeting attendees.
  6. Optional: if you run similar meetings often, create a Claude Project and set custom instructions with your preferred output format so you do not need to repeat the same formatting requests.

Prompt to copy

For step 3, extracting action items:

Please extract all action items from the meeting notes below. For each action item, list:
- What needs to be done
- Who is responsible (if mentioned)
- Deadline or timeframe (if mentioned)
- Priority level (if clear from context)

Meeting notes:
[paste your meeting notes here]

For step 4, reformatting the output:

Please reorganize this list:
- Group by person responsible
- Add a status column (Not started / In progress / Done)
- Format as a [table / bullet list / numbered checklist] that I can copy to [Google Sheets / Notion / Slack / email]

Tips

  • Include speaker names or initials in your notes if possible, so Claude can identify who committed to each task.
  • For recurring meetings, create a Claude Project with your format preferences saved in custom instructions so the output is consistent every time.
  • If Claude misses action items, ask it to review again for implied tasks or commitments that were not stated as clear to-dos.
